Three Easy Steps to Reduce Audioconferencing Expenses

Modern organizations rely on audioconferencing to enable an increasingly distributed workforce to conduct meetings.

*Gartner’s recent “Three Easy Steps to Reduce Audioconferencing Costs” report reveals that, “audioconferencing typically consumes about half of a company’s overall virtual-meeting expenses due to high per-minute global calling rates and rising usage of this type of service.”

It’s a fact. Audioconferencing expenses can also vary widely from month to month and are often dependent on factors such as user location and a user’s preferred method of conference access.

On top of that, service providers offer different pricing plans and service models for audioconferencing based on how it’s used. Yet, in spite of these obstacles, tech-savvy employees demand the latest services and tools to support simple and effective workplace collaboration. That means increased audioconferencing costs for your company.

Gartner Examines Audioconferencing Spending

If you’re an application or IT leader involved in planning, selecting, and deploying unified communications and collaboration solutions, the Gartner report details a few practical cost cutting measures to help streamline audioconferencing. This means that businesses of all sizes – and budgets – can provide easy, reliable, and cost-effective audioconferencing for employees, customers, and partners.

According to the Gartner report, there are 3 recommended methods for reducing the money your organization spends on audioconferencing.

  1. Use Existing Conferencing Tools
Use the audioconferencing feature embedded in your meeting solution, rather than an external audioconferencing service.
  2. Leverage Solution Provider’s Cloud Service
Deploy private Session Initiation Protocol (SIP) trunks that stretch from your enterprise voice system directly to your meeting solution provider's cloud service. This will avoid variable-rate public switched telephone network (PSTN) routing charges and improve audio quality.
  3. Establish Lower Cost Access Methods
Train users and deploy tools to ensure conference participants use lower-cost access methods. Reduce usage of toll-free numbers from mobile devices whenever possible.

Organizations implementing the latest audioconferencing tools are quickly experiencing all the benefits – including ease of use – that come with simple, modern collaboration. Today’s audioconferencing solutions have never been easier for IT teams to deploy and for employees and stakeholders to use, all the while reducing costs both now and into the future.
